We are recruiting for Mitie. They are seeking an Assistant Contracts manager to join their team in Carlisle.

Job objectives and responsibilities

We are recruiting an Assistant Contracts Manager who will be responsible for the operational delivery of Mitie's grounds maintenance and winter services contracts, including client liaison, health and safety, financial performance and management of our frontline teams within the Cumbria region. From day one you will be focussing on developing your capability and career to maximise your potential as the business grows. Reporting to the Head of Operations, the candidate will be required to demonstrate relevant experience from the industry or transferable skills from another industry or from higher education.

Main Duties

  • • Manage specific contracts to ensure that client specifications are met and that financial targets are achieved. This is to be achieved through the proactive management of resources. • Carry out site inspections and produce monthly reports for contracts, reporting on service delivery and highlighting issues on site. • To attend customer meetings on site and in offices on a regular basis. • Lead by example with regards to quality, health, safety and environmental compliance with statutory and contractual legislative requirements being exceed. • To improve quality on sites through close working with your frontline teams. • Act quickly and effectively with local service issues to ensure contract delivery and service standards are maintained. • To manage and ensure delivery of all winter services needs to ensure complete service delivery in regards to gritting and snow clearance. • To manage and develop a professional and effective operational team, ensuring objectives are set, monitored and achieved and that all employees are appraised and have a personal development plan. • To carry out the day to day management of relevant employees including conduct, performance, attendance and capability. • Attend HR related courses to ensure competence in dealing with people management responsibilities • To meet and/or exceed financial targets. • To assist with contract renegotiations where necessary to ensure success and growth with the existing client base. • To build positive and productive working relationships with all customers, delivering excellent customer service and seeking ways to continuously improve and exceed expectations. • Ensure that all Scheduled and Reactive Visits and any KPI's are met for the portfolio. • To support the development of new sales, ensuring continuous growth. • To provide management information/reporting as required. • To understand and complete all work related documentation accurately and on time. • Carry out such ad hoc duties as reasonably required by the Head of Operations.

  • • Holds relevant professional, technical or management qualifications, and/or has relevant experience • Can demonstrate knowledge and understanding of Health, Safety, Environment and Quality systems and the management of safe systems of work associated with the role and work environment • Able to represent Mitie effectively at both internal and external meetings • Able to demonstrate appropriate financial management • Able to lead, motivate and manage a team effectively • Seeks out and takes opportunities to learn new skills as part of personal professional development • Leads by example in all role activities • Self-motivated • Knowledge of Microsoft office including Excel, Word and PowerPoint • Well presented, professional appearance and attitude with a positive and professional approach

Health & Safety

  • • Ensure all company and client policies and guidelines are always adopted and complied with by all staff • Ensure all documentation is completed accurately, on time and distributed accordingly • Ensure all relevant Health & Safety training is undertaken as required and that staff are trained for work they are undertaking

Contract delivery

  • • Meet /exceed internal and external timelines • Maintain a continuous contract improvement culture to improve, service, quality and profitability • Identify and manage risk to prevent impact on the business • Open and honest financial management and reporting • Ensure appropriate resource level is maintained with in the area to meet contractual, Mitie, HSE and legislative requirements • Actively identify, price and deliver additional works

Finance

  • • Manage operating region to meet / exceed budget requirements • Provide financial information to agreed timelines • As required provide quotations for contract and additional works to achieve / exceed budgetary margins • Proactively manage overheads in line with budgets

  • • Maintain regular contact with customers • Provide an excellent customer service • Understand a customer's business and needs • Be flexible and responsive to customers' needs

Health and Safety responsibilities

  • • Follow Group and company policies and procedures at all times; • Report any apparent deficiencies in systems of work or equipment provided that may result in failure of service delivery or risk to health and safety or the environment; • Use all work equipment and personal PPE properly and in accordance with training received; • Report any issues or training needs to your Line manager and /or via your divisional incident reporting system;

Information Security

  • • Ensure compliance with Mitie's information security procedures in all activities; • Proactively identify and report security risks to your manager; • Report actual and suspected security incidents; • Vetting will be required for this role.
